We are the data controller for the personal information described in this policy. If you have any questions about it, or want to use any of your rights, please contact us using the details above.
What information we collect
- Enquiries and quotes: your name, company, email address, phone number, the garments and quantities you are interested in, and any logos, artwork or messages you send us.
- Orders and accounts: your name, company, job title, billing and delivery addresses, phone number, email address, purchase order numbers, order history and any notes you add. If you use our client ordering portal we also keep your login details (your password is stored in encrypted form) and a record of when you sign in.
- Payments: card payments are handled by Stripe. We never see or store your full card details. Invoices and payments on account are managed in our accounting system, Xero.
- Website use: technical information such as your IP address, browser type, the pages you visit and how you arrived at our site, collected through cookies and similar technologies (see below).
- Correspondence: emails, phone calls and messages you send us.
How we use your information and our lawful basis
- To provide quotes, proofs and orders and to deliver them to you. Lawful basis: performing a contract with you, or taking steps at your request before entering into one.
- To run client accounts and wardrobes, including sending login links, order confirmations and invoices. Lawful basis: contract and our legitimate interests in running our business.
- To keep accounting and tax records. Lawful basis: legal obligation.
- To keep our website and systems secure, prevent fraud and fix problems. Lawful basis: legitimate interests.
- To understand how our website is used so we can improve it (website analytics). Lawful basis: your consent, where cookies are involved.
- To tell you about our products and offers. We only do this where you have agreed, or where you are an existing business customer and have not opted out. You can unsubscribe at any time.
Your logos and artwork
Logos and artwork you send us are used only to produce your quotes, proofs and orders. We do not share them with anyone except the suppliers and partners needed to make your products, and we will not show your branding in our portfolio, case studies or marketing without your permission.
Cookies
We use cookies that are needed for the website to work, for example to remember your basket, keep you signed in and keep the site secure. With your consent we also use Google Analytics to see how visitors use the site, and Google Ads conversion cookies to see which of our adverts lead to orders (for a paid order we share the order number and value with Google). We do not use advertising cookies to personalise ads. You can accept or refuse analytics and advertising separately. You can change your choice at any time through the cookie banner or your browser settings. Blocking essential cookies may stop parts of the site, such as the basket or login, from working.
Our own visit counts. Separately from Google, our website counts visits itself so we can see which pages are useful. It also counts which links and buttons are clicked on each page, as daily totals only (no positions, recordings or anything about who clicked). It uses no cookies and stores nothing on your device. Each visit gets an ID made from a scrambled version of your IP address and browser that changes every day, so it can’t follow you from one day to the next, and your IP address is never stored. It also records the approximate town or area your visit comes from, which our network provider (Cloudflare) works out from your IP address; the IP address itself is not stored, and no cookies are used for this. We keep these counts for 13 months and don’t share them. You can switch them off at any time in (untick “Our own visit counts”), and they are off automatically if your browser sends Do Not Track or Global Privacy Control.
Where you found us. If you accept analytics or advertising cookies, we keep a small cookie (kb_src) for 90 days that remembers how you first reached our site, for example a Google search or advert and its click reference. If you then ask for a quote, this is stored with your request so we can see which adverts work. With advertising consent, we may tell Google that a click led to a quote or an order, and its value.
Embedded content from other websites
Some pages include content from other websites, such as Google Maps. Those websites may collect information about you, use cookies and track your interaction with that content in the same way as if you had visited them directly.
Who we share your information with
We never sell your personal information. We share it only where needed with:
- garment suppliers and couriers, so your order can be made and delivered;
- Stripe (card payments) and Xero (invoicing and accounts);
- Cloudflare, which protects our website and makes it faster (every visit passes through it, so it sees your IP address and browser details); our website hosting and email providers; and Google (website analytics and advertising measurement);
- our professional advisers, such as accountants, and authorities where the law requires it.
Some of these providers may process information outside the UK. Where they do, we rely on the safeguards UK data protection law requires, such as adequacy regulations or approved contract clauses.
How long we keep your information
- Order, invoice and accounting records: 6 years after the end of the financial year they relate to, as required by HMRC.
- Client portal accounts: for as long as your organisation uses the service, then deleted or anonymised within 12 months unless records must be kept for accounting.
- Quotes and enquiries that do not lead to an order: up to 2 years.
- Logos and artwork: for as long as you are a customer, so we can make repeat orders, unless you ask us to delete them.
- Security records: sign-in attempts, sign-in and password-reset links, and the IP address and browser details saved with a website enquiry are kept for up to 2 years, then deleted automatically. Records of what staff do in our systems are kept with the order records they relate to.
- Cloudflare and our hosting company keep their own short-term technical logs (for example, to block attacks), normally for no more than a few weeks.
Your rights
Under UK data protection law you have the right to ask for a copy of the personal information we hold about you, and to ask us to correct, delete or restrict it. You can also object to how we use it, ask for it to be transferred to you or another organisation, and withdraw any consent you have given. Some rights only apply in certain circumstances. To use any of these rights, email [email protected] or call 01482 606622. We will reply within one month.
Keeping your information safe
We use secure (HTTPS) connections, encrypted passwords, access controls, two-step login for staff accounts and regular backups to protect the information we hold.
Complaints
If you are unhappy with how we have handled your information, please contact us first so we can try to put it right. You also have the right to complain to the Information Commissioner's Office (ICO) at ico.org.uk/make-a-complaint or on 0303 123 1113.
